The Executive Assistant – Legal will report to the General Counsel – Public Funds and provide administrative support to the corporate and securities lawyers and paralegal located in the Company’s Phoenix, AZ office. 
Responsibilities:
  • Provide clerical and administrative support including managing calendars, scheduling meetings, coordinating travel arrangements, and managing incoming and outgoing mail.   
  • Prepare and edit correspondence and communications; proofread and process edits in legal documents.
  • Coordinate Board of Directors and other meeting set-ups including video conference set-up, ordering food/beverages, preparation of agenda and/or other meeting materials for meetings. 
  • Set-up and maintain departmental and/or management files according to established criteria related to contracts, documents, correspondence, agreements, reports, etc.
  • Prepare and process expense reports.
  • Process legal department invoices and assist in management of other billing matters.
  • Act as backup for other executive assistants on an as-needed basis.
  • Requirements:
  • Bachelor’s degree and/or related experience 
  • 3+ years’ experience in a legal administrative and/or executive administrative role in a law-firm, in-house legal department or other corporate environment, or similar combination of education & experience 
  • Ability to effectively interact and communicate both internally and externally across all levels of the organization 
  • Ability to exercise discretion and judgment to maintain appropriate level of confidentiality
  • Ability to complete responsibilities and projects with minimal direction/supervision
  • Demonstration of appropriate judgment and decision making in resolving issues that arise
  • Active, contributing member in a team environment
  • Responsive to requests and demonstrate ownership in completing essential tasks and assignments
  • Strong organizational, analytical and problem-solving skills
  • Excellent written and verbal communication skills
  • Advanced experience with Microsoft Office suite 
  • Experience with Diligent Boards or similar corporate governance software a plus
  • AZ Notary Public appointment a plus
